Lighten your workload with these 8 event-planning apps

Event planners typically wear a number of hats, and the workload can get overwhelming at times. In an attempt to organize your hectic days and streamline your work, you’re likely using software. For many professional planners, that means a hodgepodge of programs cobbled together to do a variety of tasks. If that sounds like you, consider incorporating one of these apps dedicated to professional event planning.

Eventbrite

eventbriteThis app is all about getting things up and running PDQ! To use Eventbrite, just fill in the details of your event, and soon you have a page ready for users to check in and register. The app also allows you to promote your event by inviting people, and it includes promotional tools for reaching new audiences.

Eventbrite offers a mobile app called Entry Manager for iOS and Android. In addition, the At the Door app lets you check in your event attendees and process credit card payments on-site. In 2014, Eventbrite rolled out its Eventbrite Neon app for iOS, which is billed as a “one-stop shop” for managing orders, tracking sales and checking people into your event.


Super Planner

The app, for both iOS and Android, includes a number of handy tools, including:

  • Capacity calculator: Analyze various seating configurations, including classroom, theater, conference and exhibit.
  • Staffing: Calculate the number of wait staff and bartenders you’ll need based on different styles of service.
  • Audio-visual: Determine how close your first and last rows of seats need to be based on the size of your screen. The tool also includes a calculator for stage height, along with tips for PowerPoint design and projection.
  • Food and beverage: Includes a variety of tools like a price converter and a calculator for the number of needed hors d’oeuvres and drinks.

Check In Easy

checkin easyAfter you set up a free account on Check In Easy, you can upload your guest list from an Excel file, set up VIP email and text notifications, and log into the mobile app to check in your guests.

At the event, you can check in guests using multiple mobile devices, including iPads, iPhones and Android phones and tablets; you also can use the website on a laptop.

The app lets you check in up to 50 guests free and can be used for conventions, corporate parties and other events. Check In Easy uses “unique boarding pass technology” that lets you send your attendees an email with a barcode that they use for checking in.

Social Tables

social tablesSocial Tables for iOS bills itself as “the most dynamic diagramming and guest management platform” available. With the official app, you can use templates to quickly create and edit event diagrams, email PDFs of your event, create floor plans and add to your venue library, and use a dashboard to search and filter your events.

For Android, Social Tables offers the Pocket Planner app, created in conjunction with the Convention Industry Council. The app uses CIC standards to recommend quantities for beverages, food and other services based on the number of attendees.

Event Espresso

event espressoIf you use WordPress-powered sites to manage your events, you may be interested in Event Espresso, a plugin that helps with ticketing and event registration and management. Pricing for Event Espresso is based on the number of sites you manage.

 


Planning Pod

Planning-Pod2Planning Pod offers a number of tools for corporate meeting planners, event planning companies, hotels and conference centers, and others. The app’s functionality includes managing event budgets, schedules, timelines and floorplans, creating proposals and invoices, tracking event spaces, and managing guests and attendees.

Because Planning Pod was created using responsive web design, it runs on all platforms, including smartphones and tablets. The software allows you to create customizable event websites that feature the ability to RSVP online. Pricing is based on the number of events you need to manage.

My Event Organizer/GreenRope

greenropeThe app formerly known as My Event Organizer and now called GreenRope bills itself as a complete customer relationship management solution, including customer service and marketing automation. The software allows you to construct a profile of how your customers interact with your business.

You can record information about each individual, then add contacts to groups that help with your automated marketing. For event-planning professionals, the ability to track event signups and add the information to an overall lead score may prove useful.


Cvent

cventThe event management and online registration app Cvent has been around since 1999, so you’ve likely heard of it or even used it. Cvent provides an integrated platform where uses can locate venues, plan events, communicate with attendees, collect registration fees, conduct online surveys and measure the impact of events.

Cvent also offers a number of related tools. The Cvent Supplier Network is a free marketplace connecting professional event planners with vendors and venues. CrowdCompass by Cvent allows you to create custom mobile apps for your conferences and events. The OnArrival app provides users with the ability to check themselves in at events.
